Describe the change precisely
A request such as “upgrade the finish” needs to become a specific product, location and quantity. Record what it replaces and which drawing or schedule will change. A clear description allows the client and the appointed team to review the same proposal rather than approving different interpretations of a conversation.
Review the connected work
Ask which other tasks are affected. A thicker worktop can alter supports and appliance relationships. A revised partition can affect lighting, services and finishes. The assessment should also distinguish work already completed or purchased from work that remains flexible. The timing of the decision can be as consequential as the selected item.
Keep the approval with the project record
The record should state the agreed change, any price and programme adjustment, and who approved it. Update the relevant drawings and procurement information so the site team receives a consistent instruction. A variation log is most useful when it points to the current agreed information, not simply to a chain of messages.
